Job offer: Front desk

OBORO is an artist-run centre whose research, production, dissemination and training activities encompass media, digital and visual arts. We are currently looking to fill a front desk position. Reporting to the General Director, this person acts the point of contact between OBORO and its publics. Primary responsibilities include informing and guiding visitors, offering a warm welcome and ensuring the smooth functioning of regular office activities. OBORO aims to provide the incumbent with enriching work experience within the cultural sector.

Specific tasks include:
•    Opening, overseeing and closing exhibitions, as well as launching multimedia works and equipment.
•    Contributing to the smooth functioning of events held at the centre.
•    Contributing to a warm experience for visitors and answering their questions.
•    Managing phone and voicemail systems and ensuring that messages and requests are sent to the people concerned.
•    Managing the general email inbox.
•    Handling postal and courier mailings and supporting the team in diverse general administrative tasks.
•    Undertaking English-language text revisions, on occasion.
•    Undertaking diverse tasks linked to exhibition set-up, as needed.
•    Ensuring that the spaces and offices remain clean.
•    Coordinating receptions for exhibition openings and other public activities (such as finding volunteers, buying and preparing food for buffets, etc.)
•    According to interest and experience: contributing to OBORO’s social media presence.
•    According to interest and experience: participating in community animation, cultural mediation and outreach activities.

Requirements:
The incumbent must be eligible for a wage subsidy from Emploi-Québec and must obtain a letter of eligibility from their Local Employment Centre (LEC). This offer is accompanied with a training plan.

Required skills and qualifications:
•    Good interpersonal and communication skills.
•    Bilingualism in French and English is essential (the working language is French).
•    Ease with technology, telecommunication tools and social media.
•    Familiarity with File Maker and Office Suite.
•    Interest in contemporary art and media arts.
•    Interest in food preparation.
•    Knowledge of the artistic sector is an asset.
•    In accordance with our mandate, we privilege candidates who have an artistic, writing, or curatorial practice.

Position details:
•    Fixed-term 30-week contract.
•    General schedule: 30 hours per week, according to the following schedule
•    During exhibition periods: Tuesday, Wednesday and Friday from 11:00 a.m. to 5:00 p.m. (with an unpaid 30-minute break), Thursday from 11:00 a.m. to 7:00 p.m. (with an unpaid 30-minute break),  Saturday from 11:15 a.m. to 5:15 p.m. (with a paid 30-minute break).
•    Outside of exhibition periods: Monday to Friday from 10:30 a.m. to 5:00 p.m. (with an unpaid 30-minute break).
•    Planned start date: September 10, 2018, conditional upon the receipt of a wage subsidy from Emploi-Québec.
•    Salary: $15 per hour.

Job offer: Administrative Assistant

At OBORO, we also aim for the flexibility we know to be necessary in maintaining a healthy balance between work, family and artistic practice.

We are currently looking to fill an Administrative Assistant position. Working directly with OBORO’s General Director, this person’s primary responsibility is the organization’s bookkeeping, as well as some administrative and governance-related tasks.

The administrative assistant’s responsibilities include:
•    Upkeep of OBORO’s bookkeeping;
•    Assisting the director in budget monitoring;
•    Producing and following up on project budgets;
•    Managing OBORO employees’ pay and timesheets;
•    Regular updating of fee schedules for honoraria and artist fees;
•    Managing financial documents for auditing;
•    Co-signing financial transactions (with the director);
•    Preparing various government-related reports: taxes, T3010, TP-985, wage summaries, pay equity, CNESST, etc.;
•    Preparing job offers for positions within the organization;
•    Drawing up contracts and work lists;
•    Coordinating job and internship interviews;
•    Coordinating committee and board meetings;
•    Being present at board meetings and drafting meeting minutes;
•    General document organization and upkeep;
•    Various tasks assisting the director.

Required skills and qualifications:
•    Essential: knowledge of Employeur D and SAJE;
•    At least two years of not-for-profit administrative experience necessary; cultural sector an asset;
•    At ease in organizing and transmitting information for multiple uses;
•    Excellent ability in managing priorities and schedules;
•    Ability to work on several projects at once;
•    Conscientious person;
•    Computer-related skills: Mac environment, spreadsheets;
•    Bilingual (daily work language is French, fluency in English also essential);
•    Communicative, teamwork-oriented and punctual;
•    Knowledge of the cultural sector and artist-run centre operations an asset.

Position details:
•    Permanent position; 28 hours per week;
•    Schedule: Monday to Thursday (flexibility possible);
•    Start date: late August 2018 (negotiable) ;
