Administrative Coordinator, New Media Lab

We are currently looking to fill the position of Administrative Coordinator, New Media Lab (NML). Reporting to the Artistic and Administrative Directors, this person is at the heart of the NML’s activities. The incumbent is responsible for the NML’s administrative tasks and contributes to the smooth functioning of OBORO’s activities.

Specific tasks include:

• Receiving and following up with individuals using the NML (artists and other users): communicating information, returning calls, treating correspondence, handling reservations, follow-ups, invoices, contracts, and registrations.
• Overseeing the NML’s administration, in close collaboration with our accountant (invoicing, accounting, tracking use of spaces and equipment, following up on payments).
• Coordinate the NML’s activities (residences, professional training, productions, rentals, etc.) with the team, freelance workers, as well as other stakeholders in the building.
• Ensure the safety of visitors and staff by actively and courteously applying Covid-19 prevention measures.
• Updating relevant information: price lists, databases, protocols, etc.
• Preparing some meetings.
• Following procedures for space and equipment rentals, in accordance with the heads of the audio and multimedia sectors.
• Contributing to the smooth functioning of events and programming.
• In collaboration with the team, maintaining a clean and orderly work environment.

Required skills and qualifications:

• Ease in organising and communicating information.
• Excellent ability to manage priorities and schedules, and to work on multiple projects simultaneously.
• Conscientious, dedicated, punctual and reliable person, who is also a team player.
• Interest and ease with technical equipment is an asset.
• Precision and thoroughness in administrative work.
• Computer fluency: Mac, FileMaker (asset), spreadsheets.
• Languages: the working language is French; fluency in English is desirable.
• Basic knowledge of audiovisual or sound production.
• Ability to concentrate in an open office environment.
• Knowledge of the cultural sector and an understanding of how artist-run centres work.
• In accordance with our mandate, we privilege candidates who have an artistic, writing, curatorial or media practice.

Position details:

• Fixed-term contract running until September 2021, with a possibility of renewal.
• Regular schedule: 26 hours per week from Tuesday to Friday, 10 a.m. to 5:00 p.m. (this is a flexible schedule which may occasionally include early mornings, evenings or week-ends).
• Start date: week of August 31, 2020.
• Salary: $17 per hour.

Communications Manager

OBORO is seeking to fill a position of Communications Manager. Under the authority of the General Director, this person ensures that the centre and its activities reach a variety of audiences through different means of communication.

More specifically, the tasks are to:

•    Develop the centre's communications plan and ensure its implementation;
•    Write various texts and coordinate the production of promotional material;
•    Ensure that texts, such as exhibition essays, are revised;
•    Update general and activity-related information on OBORO’s website and maintain social networks;
•    Establish and maintain press relations with various media and keep the list of media contacts up to date;
•    Coordinate the work of graphic designers and language service providers;
•    Research and propose initiatives concerning new communications forms and media, and participate in the development of the website and communication platforms;
•    Act as a focal point for communications with the centre's various partners;
•    Occasionally represent the organization at certain events and in the media;
•    Participate in the smooth running of program activities by being on-site, in collaboration with the programming coordinator;
•    Ensure the compilation of press reviews of the organization's activities.

Qualifications and skills required:

•    Excellent interpersonal and communication skills.
•    Very good writing skills in French and English (the primary working language is French).
•    Ease with technology, telecommunication tools and social media.
•    Ability to work with various software, including: Adobe Suite, MailChimp, etc.
•    Interest in contemporary and media arts.
•    Knowledge of the artistic community is an asset.
•    In accordance with our mandate, we will give preference to candidates with an artistic, writing or curatorial practice.

Position details:

•    1 year contract with the possibility of renewal
•    General schedule: 21 hours per week, Tuesday to Thursday from 9:30 a.m. to 5 p.m., with some flexibility. Occasionally, the person will be called upon to work during events, evenings and weekends.
•    Expected start date: week of August 31, 2020.
•    Remuneration: $17 per hour.

Visitor Services Agent

Reporting to the Artistic Director, the Visitor Services Agent plays an important role in OBORO’s programming activities, as well as in its relations with the public and clientele.  

Specific tasks include:

•    Welcoming and ensuring follow-ups with people who pass through OBORO (artists, public, users of the New Media Laboratory): reception, presentation, transmission of information, returning calls, some correspondence.
•    Contributing to a warm experience for visitors and answering their questions.
•    Ensure the safety of visitors and staff by actively and courteously applying Covid-19 prevention measures.
•    Opening, overseeing and closing exhibitions, as well as launching multimedia works and equipment. Contributing to the smooth functioning of events held at the centre.
•    Managing the general email inbox as well as the centre’s primary phone line.
•    Supporting the team in diverse general administrative tasks and, on occasion, with accounting tasks.
•    Coordinating receptions for exhibition openings and other public activities (such as finding volunteers, buying and preparing food for buffets, etc.)
•    Contributing to the coordination of activities, such as artists’ residences, professional training, productions and rentals.
•    Undertaking diverse tasks linked to exhibition set-up, as needed.
•    Supporting the team in diverse tasks linked to communications (revising texts and translations, publications on social media, etc.
•    Participating in community animation, cultural mediation and outreach activities.

Requirements:

The incumbent must be eligible for a wage subsidy from Emploi-Québec and must obtain a letter of eligibility from their Local Employment Centre (LEC). This offer is accompanied with a training plan.

Required skills and qualifications:

•    Good interpersonal and communication skills.
•    Interest in contemporary art and media arts.
•    Bilingualism in French and English is essential (the working language is French).
•    Knowledge of the cultural sector and an understanding of artist-run centres (an asset).
•    Familiarity with Office Suite and social media (an asset).
•    Interest in food preparation.
•    In accordance with our mandate, we privilege candidates who have an artistic, writing, or curatorial practice.

Position details:

•    Fixed-term 30-week contract.
•    General schedule: 30 hours per week, according to the following schedule
      o    During exhibition periods: Tuesday, Wednesday and Friday from 11:00 a.m. to 5 p.m., Thursday from 11:00 a.m. to 7:00 p.m. Saturday from 11:15 a.m. to 5:15 p.m.
      o    Outside of exhibition periods: Monday to Friday from 10:30 a.m. to 5 p.m.

•    Planned start date: September 1, 2020, conditional upon the receipt of a wage subsidy from Emploi-Québec.
•    Salary: $15.60 per hour.
